Receptionist & File Clerk (Bilingual – English/Spanish)

We are seeking a dedicated and detail-oriented bilingual receptionist and file clerk to support our team. The ideal candidate will have prior experience in an immigration law firm setting and be extremely detail-oriented and comfortable working with clients and colleagues in a highly regulated and time-sensitive area of law. Attention to detail throughout all duties of this role is necessary.

This role requires communication with peers, supervisors and individual clients and organizations in an efficient and professional manner. Client understanding and satisfaction is a fixed priority, and this professional’s customer service must reflect the firm’s values and goals.

Responsibilities

Answer, screen and direct phone calls to staff. Take messages and see inquiries through conclusion timely.

Manage firm calendars (e.g.: scheduling existing client appointments, confirming and changing appointments, screening first-time callers, scheduling consultations, coordinating access authorization for visitors, entering and managing database reminders for hearing and interview dates, fingerprinting and other deadlines).

Provide general support, assisting organize and maintain case files and client management systems.

Greet clients and visitors in a courteous and professional manner.

Process in-person and phone payments, as needed.

Sort incoming correspondence, scanning case receipts into client files, entering logs, reminders, case notes, and events into the calendar based on daily physical and electronic mail.

Handle and document all outgoing mail, including scanning and hole punching case filings, creating FedEx and USPS packages, logging and dropping mail off at the end of the day, as well as making hand deliveries, as needed, to local offices.

Retrieve court dispositions and other records, as needed.

Copy client personal and supporting documentation.

Close files for completed cases, properly storing related documentation and documenting procedures.

Provide Spanish/English interpretation and assist staff in communication with Spanish-speaking clients.

Assist in office supply management.

Organize and assist in preparing materials for team meetings, and take minutes, when necessary.

Assist with projects as assigned by the legal team, which may include the preparation of basic legal documents and filings.

Requirements

  • Fluency in English and Spanish (spoken and written);
  • Excellent verbal and written communication skills and professional demeanor;
  • Excellent attention to detail;
  • Consistent timeliness and task execution;
  • Ability to multitask and remain flexible;
  • Ability to work independently and within teams, manage time and workloads efficiently, and keep deadlines;
  • Competency in Microsoft Office Suite, case management databases (e.g.: LawLogix), and task management software (e.g.: ClickUp) as well as interest in technology applied to operational efficiency and the field of law;
  • Motivated and self-driven;
  • Prior experience in a law firm setting, especially in an immigration law firm, is preferred;
  • Associate or bachelor’s degree preferred.

Salary commensurate with experience. Standard benefits provided following a 90-day probationary period of employment. While it supports hybrid operations, this is an in-person role.

Immigration Paralegal/Case Manager

A paralegal/case manager at our firm manages a full caseload of family and employment-based matters, including (but not limited to) family and employment petitions, naturalization, removal proceedings, asylum, waivers, consular processing, DACA, VAWA, U Visas, religious petitions.

This professional must be extremely detail-oriented and comfortable working in a highly regulated, time-sensitive, area of law. Attention to detail in writing, case preparation, document collection and review is necessary.

This role requires communication with peers, supervisors and individual clients and organizations in an efficient and professional manner. Client understanding and satisfaction is a fixed priority, and the paralegal/case manager’s customer service must reflect our organizational goals.

  • Excellent attention to detail;

  • Ability to multitask and remain flexible;
  • Competency in Microsoft Office Suite, case management databases (e.g.: LawLogix), and task management software (e.g.: ClickUp) as well as interest in technology applied to the field of law;
